Banking details when a Business is linked to Xero

When a vendor or buyer is linked to a contact in your Xero account, Xero becomes the source for their bank account.

We do this so the account on an RCTI always matches the one your accountant holds, and nobody has to key the same details into two systems. The result is that some banking fields on the business are locked in AgriNous, and you change them in Xero instead.

Before you start

  • Your agency must have the Xero integration connected.
  • The business must be linked to a Xero contact. If it isn't, you edit its banking details in AgriNous as normal and this page doesn't apply.
  • You need access to Xero to change the bank account itself.

How to tell a business is linked

  1. Open the business.
  2. Open the Finance & Accounting section.
  3. Look at the banking fields at the top of General.

If the business is linked, you see the message Banking details can only be updated in Xero. The BSB, Account Number and Account Name fields are greyed out. A Sync Now button appears beside the message.

You also can't clear the banking details on a linked business.

How to change a linked business's bank account

  1. In Xero, open the contact for the business.
  2. Update its bank account details.
  3. In AgriNous, open the business, then open Finance & Accounting.
  4. Select Sync Now.

Result: AgriNous reads the contact again and updates BSB, Account Number and, if Xero has one, Account Name. The change appears in the business's change history with the reason Updated from Xero.

What Sync Now reads from Xero

  • BSB and account number. Xero stores them as one string of digits. AgriNous takes the first six digits as the BSB and the rest as the account number. If the string has six digits or fewer, AgriNous can't split it and changes nothing.
  • Account name. AgriNous only updates it when Xero has a bank account name. It never blanks an existing name.
  • Nothing in Xero. If the contact has no BSB or account number, AgriNous leaves what it has. It does not delete anything.
  • No banking details in AgriNous yet. AgriNous creates them from Xero, and records the reason Added Banking Details from Xero.
  • PayID and Cheque Payable To are never touched.

When Xero's details reach AgriNous

Trigger

What happens

Sync Now on a business

AgriNous reloads that one Xero contact straight away.

Syncing your Xero businesses from the integration

Every contact is reloaded, including banking details.

AgriNous refreshing a contact's balance

The contact is reloaded, which also refreshes banking details. This happens when documents or credits are synced.

Changes you make in Xero do not reach AgriNous on their own in between. Select Sync Now after you change a bank account.

When you create a Xero contact from AgriNous

If you create the Xero contact from the business, AgriNous sends the business's BSB and Account Number to Xero. From then on, Xero is the source and the fields lock.

What this changes on documents
  • RCTIs show the vendor's banking details. After you sync, new RCTIs and re-created RCTIs use the new account. PDFs already created keep the old text.
  • If a vendor has no banking details, the billing run flags the RCTI with a warning, Missing Bank Details. For a linked vendor, add the details in Xero, then select Sync Now.
  • The accounts in your own agency settings (Banking Details and Payment Preferences) are not changed by Xero.

Troubleshooting

If the banking fields are greyed out and you need to type an account in, that is the lock working as designed. The lock applies as soon as the business is linked, even if Xero has no bank details yet. Add them in Xero, then select Sync Now.

If Sync Now doesn't change anything, check that the Xero contact has more than six digits in its bank account details, and that you saved the contact in Xero first. Xero also needs to have a bank account name if you expect Account Name to change.

If you see a message that Xero is rate limited or disabled, wait a moment and select Sync Now again. If you see "Error during sync.", try once more, then contact AgriNous support.

If Sync Now is missing, the business has no linked Xero contact in AgriNous, or you don't have permission to update it. The button only appears for a linked business.

If you want to stop Xero managing a business's banking details, unlink the business from its Xero contact.
