"Cash Buyer" Business in Clearing Sales

The Cash Buyer business gives you a single business to "Invoice to" small Lots to: One Business, one Invoice exported to Xero, one line to reconcile.

Setting a Cash Buyer business and using the “Assign Cash Sales” screen helps you deal with clearing sales full of small, one-off cash buyers. Instead of creating hundreds of tiny invoices that then need to be matched against a single lump of cash banked on the day, set the “Invoice to” on Lots for those buyers to one Cash Buyer business instead, and they export to Xero as one invoice.

Step by step process

  • A Business record - an ordinary business in AgriNous is set up once (for example, named "Cash Sales") to represent cash buyers collectively.
  • The “Default Cash Buyer” setting - your agency's setting that tells AgriNous which business that is, under Settings → Agency → Finance → Clearing Sale. See How to set up a Cash Buyer business for more details.
  • On Sale day Bidders/Buyers are set on Lots as usual, and payments are added using the same payment workflow you’re used to. Those Buyers, when they pay on the day, receive a receipt of payment with their details on it as they have in the past.
  • Once the sale is complete, navigate to the Billing tab.
  • Assign Cash Sales - Tap on the Billing tab in your Clearing Sale - within the three dot menu on the Billing Run row, next to “Edit Billing Run”, tap “Assign Cash Sales”. This is where you decide, buyer by buyer, or bulk assign, whether they're billed individually or the “Invoice to” is set to the Cash Buyer business.   • Billing and Xero Export - once buyers “Invoice to” are assigned, billing treats their sale lots as being invoiced to the Cash Buyer business for the purposes of Xero export and reconciliation. A normal billing run then produces one invoice for all those Lots and Buyers, which exports to Xero the same way any other invoice does.
