Clearing Sale Billing Rulebooks and Billing Runs

When you create a Clearing Sale, AgriNous sets up its billing run for you, using a standard AgriNous Clearing Sale Rule Book, so that basic receipts can be generated and printed easily on Sale day.

When doing billing for reconciliation post-Sale, we ask you to choose your own Rule Book before you go any further, so the charges and Xero account codes in the export are your agency's, not the standard ones.

Before you start

  • Your agency needs its own Rule Book for Clearing Sales.
  • That Rule Book must include the Clearing Sale's Sale Sub Type. Check this in the Rule Book, under Sale Subtypes.
  • You need permission to edit billing runs on the sale.

Steps

  1. Open the Clearing Sale.
  2. Open the Billing tab, then open the Overview step.
  3. Read the message "Select a Rule Book to use with this Billing Run."
  4. Select Select Rule Book.
  5. In the billing run window, choose your Rule Book in Rulebook.
  6. Save the billing run.

Result: The billing run opens on your Rule Book, and you can work through the Overview, Sundries, Review, Send and Export steps as normal.

What you'll see on screen

  • Until you choose a Rule Book, the run doesn't appear in the list of billing runs you can open.
  • On the Overview, the message and the Select Rule Book button replace the usual content.
  • After you save, the run opens on its own, and the Assign Cash Sales option is available from the billing run menu.

Troubleshooting

If you see "This Rule Book is not set up for this Sale's Sale Sub Type.", the Rule Book you chose doesn't include the sale's sub type. Open the Rule Book, add the sale's sub type under Sale Subtypes, then choose it again.

If your Rule Book isn't in the Rulebook list, it may not be set up for this sale's sub type. Add the sub type to the Rule Book and try again.

If you see a message that the Rule Book applied to the sale's billing run "is not set up for the … Sale Sub Type", the run is on a Rule Book without the sale's sub type. Add that sub type to the Rule Book.

If a message says the sale has no Sale Sub Type, open the sale and set one, then try again.

If the run doesn't open after you save, refresh the page and check the Rulebook field.
