Apply Legacy Business Data to a Business record

Pull in what you already know about a Business instead of retyping it from scratch.

Before you start

  • You'll only see the suggestion button described below if there's at least one Legacy record to suggest - if nothing's been uploaded, this feature won't appear at all.
  • Nothing is saved to the Business until you finish and submit the Business form - applying a suggestion only fills in the form.

Find and apply a suggestion on an existing Business

  1. While creating or editing a Business, start typing its Name.
  2. Next to the Name field, select (number) suggested if candidates were already found, or Search suggestions to look manually.
  3. In the Data Suggestions browser, search and select the matching record.
  4. In the next screen, choose which fields to bring across for each category (General, Financial, Properties, Contacts, Commissions, Notes).
  5. Select Use Data.
  6. Finish filling in the Business form as normal, and save.

Result: The fields you chose are filled into the form - most fields replace what's there, but Notes are added to any existing notes rather than replacing them.

Start a brand-new Business from Legacy Business Data

  1. From the Businesses list, use the bulk action Add Business from Legacy Data.
  2. This opens a blank Business form straight into the Data Suggestions browser — search and select a record as above.

Tips

  • Commission and agent-relationship fields (Agency Commission Override, Stock Agent, Rebate Agent) only appear for livestock agents - saleyard admins won't see them.
  • Stock Agent and Rebate Agent are matched to an existing AgriNous business by Agent Code or Saleyard Code - the business needs to already exist with a matching code for this to resolve.
  • In the compare dialog, each row is colour-coded: valid and mapped, invalid and mapped, or unmapped - check for red rows before applying.

Troubleshooting

No suggestions found. Try editing your search - fewer words, or check for spelling. The search first looks for an exact match on all your terms, then falls back to matching any of them if nothing comes up.

"No business has this Agent Code or Saleyard Code." The Stock Agent or Rebate Agent named in the legacy record doesn't match any existing business's code - add that business first, or map the field to a different column.

"Rebate Agent is required when Rebate Agent Percentage Commission is present." You've mapped a commission percentage without also mapping which business it belongs to - map the Rebate Agent field too.

The suggestion button doesn't appear at all. This means either no Legacy Data has been uploaded yet, or your role doesn't have the Legacy Data permission - check with your administrator.
