Keeping AgriNous and Xero balances in sync
Xero balances shown in AgriNous refresh automatically whenever an invoice, payment or credit changes in Xero, and contacts that are fully paid show a balance of zero dollars.
The numbers beside each business match what your accountant sees in Xero, without anyone running a sync first.
- This applies to businesses that are linked to a contact in your connected Xero account.
- AgriNous only refreshes contacts it already holds. A new Xero contact doesn't appear until it has been linked to a business.
- Balances refresh when Xero tells AgriNous something changed, so there can be a short delay.
When balances refresh
|
What changes in Xero |
What AgriNous does |
|
An invoice is created, edited, paid or voided |
Refreshes the balance of the contact on that invoice. This includes invoices raised in Xero outside AgriNous. |
|
A payment is applied to an invoice |
Refreshes the contact the same way, because Xero records it as a change to the invoice. |
|
A credit note, overpayment or prepayment changes |
Updates your statement credits and refreshes the contact's balance. |
|
A contact's details change |
Reloads the contact, including its balance. |
You don't need to press anything. Screens that are already open update on their own.
Where you see the balances
The balances appear as the Xero Account Balances group of columns, under Business, in the Money table and the business list:
|
Column |
What it shows |
|
Receivable Outstanding ($) |
What the contact owes you in Xero |
|
Receivable Overdue ($) |
The overdue part of that amount |
|
Payable Outstanding ($) |
What you owe the contact in Xero |
|
Payable Overdue ($) |
The overdue part of that amount |
|
Balance ($) |
Receivable minus payable. A positive number means the contact owes you. |
|
Overdue Balance ($) |
Overdue receivable minus overdue payable |
If you can't see these columns, add them from the column menu.
What a zero balance means
Xero doesn't send an amount for a contact that has nothing outstanding. A contact with nothing owing in either direction shows $0.00.
A zero means Xero says the contact is settled. A blank cell in AgriNous only appears when a business isn't linked to Xero.
How to refresh a balance
If you've just changed something in Xero and need the figure straight away:
- Open the business.
- Open the Finance & Accounting section.
- Select Sync Now beside the Xero message.
Result: AgriNous reloads that contact from Xero and updates its balances.
Sync Now only appears for a business linked to Xero.
Troubleshooting
A balance that looks out of date usually means Xero hasn't told AgriNous yet. If it's been more than a few minutes since the change was made in Xero, use Sync Now on that Business.
If Sync Now shows a message that Xero is rate limited or disabled, wait a little and try again. Xero limits how many requests AgriNous can make, and a busy period, such as a large export, can delay refreshes.
If a balance in AgriNous still differs from Xero after a refresh, the cause may be a document that exists in Xero but not in AgriNous. Xero includes everything raised against the contact, even outside AgriNous. If you can’t resolve this, raise it with the Support team.
If a business shows blank balances, check it is linked to a Xero contact.
