Assign purchases to your Cash Buyer business

Once a Clearing Sale is done, you decide which buyers get billed individually and which are cash sales.

Once a Clearing Sale is done, this is where you decide which buyers get billed individually and which are cash sales that should settle as one invoice through your Cash Buyer business - turning a pile of small cash sales into one line to reconcile, instead of many.

Before you start

Steps

  1. On a Clearing Sale, open the Billing tab.
  2. Tap on the “...” button next to “Edit Billing Run”.
  3. Tap Assign Cash Sales.
  4. Review the Set to Individual Invoicing and Set to Cash Account sections. AgriNous suggests a starting point for each buyer, and a buyer already routed to the Set to Cash Account section from an earlier visit to this screen stays there.
  5. To move a buyer between columns, select it and use the arrow buttons, or select several buyers and use Move to Cash Account or Move to Individual Invoicing.
  6. To find a specific buyer, use the search box. To see only buyers suggested to be set to Cash Buyer, use the Show only suggested Cash Buyer filter.
  7. Once both columns look right, select Confirm.

Every sale lot for a buyer you moved to Cash Account is now billed to your Cash Buyer business instead of that buyer. Buyers left in Individual Invoicing are unaffected. Running billing for the sale produces one invoice for the Cash Buyer business covering all of those lots, ready to send to Xero as a single invoice.

Troubleshooting

Confirm is disabled, or tells you there's no Cash Account business configured. Your agency hasn't set a Default Cash Buyer yet. Set one up first - see How to set up a Cash Buyer business.

A buyer you moved to Cash Account doesn't look right on the invoice. Check whether any of their lots had already been billed to a different business individually (for example, through Update Buyer on a sale lot) - that takes precedence, and moving the buyer here won't override it if it no longer matches.
