Set up a Cash Buyer business

Before you can route any "Cash Buyer" cash sales in a Clearing Sale, your agency needs one business nominated to receive them.

You'll need to set up a Cash Buyer Business once - then every Clearing Sale can use it.

Before you start

  • You'll need a business to use for this. You can create a new one specifically for the purpose (for example, named "Cash Sales" or "Clearing Sale Cash Account") or use an existing one, as long as it isn't a real buyer you also bill individually.
  • If you want the consolidated invoice to export straight to Xero, that business needs to be linked to Xero first.
  • You'll need access to your agency's deployment settings.

Steps

  1. Create the business you want to use, if it doesn't already exist.
  2. On that business, select the Integrations tab.
  3. Select Link To Xero and choose the matching Xero contact.
  4. Go to Settings → Agency → Finance.
  5. Open the Clearing Sale section.
  6. In Default Cash Buyer, select the business you set up.

Your Agency's Clearing Sales now have a default Cash Buyer to route cash sales to. This is what the Assign Cash Sales feature uses in the Billing section.

Troubleshooting

Can't find your business in the Default Cash Buyer field? This field only offers existing businesses — it won't create a new one for you. Create the business first, then come back and select it.

Don't see a Clearing Sale section under Settings → Finance? This is a newer setting - if it's missing entirely, check with our support team that it's been enabled for your organisation.
